Elmbridge u3a – Code of Conduct for Members
Elmbridge u3a (Eu3a) is a self-managed, volunteer-led learning organisation affiliated with the Third Age Trust. We are committed to creating an inclusive, respectful, and engaging environment where members share knowledge, skills, and experiences in the spirit of mutual aid and lifelong learning.
This Code of Conduct sets out the standards of behaviour expected of all members, including group leaders, volunteers, and committee members, to ensure the smooth and enjoyable running of our u3a.
1. Respect and Inclusion
- Treat all members with courtesy, kindness, and respect.
- Embrace diversity and promote an inclusive environment free from discrimination or exclusion.
- Avoid behaviour or language (including defamatory statements) that could cause offence or distress.
- Listen to differing views with an open mind and mutual respect.
2. Positive Participation
- Engage actively in Eu3a activities and encourage a collaborative, supportive learning atmosphere.
- Allow others the opportunity to contribute and share.
- Follow group leaders’ guidance and inform them in advance if you are unable to attend, or expect to be late for, a meeting.
- Always make sure any initiatives you propose in connection with the group are made through the group leader.
- Help maintain an environment free from disruption, enabling learning and enjoyment for all.
3. Ethical Conduct and Personal Responsibility
- Behave with honesty, integrity, and fairness in all Eu3a-related activities.
- Accept and abide by the guidance and decisions of the Committee and those with delegated authority (e.g., group leaders).
- Group members are advised to make group leaders aware, on a confidential basis, of any important issues whereby they may require emergency assistance or special consideration.
- Avoid conflicts of interest and do not use Eu3a activities, communication or online channels for personal promotion or commercial gain.
- Take responsibility for your conduct and its impact on others.
4. Confidentiality and Privacy
- Respect the privacy of other members and maintain confidentiality.
- Do not share personal details about other members without their explicit permission.
- Avoid gossip and inappropriate sharing of sensitive or personal information.
5. Safe and Supportive Environment
- Ensure all Eu3a events and activities are conducted safely and supportively.
- Follow any health and safety guidance given during activities or events.
- Report any concerns about inappropriate behaviour, member wellbeing, or safeguarding issues to a Committee member.
6. Use of u3a Resources
- Use Eu3a venues, materials, and online platforms responsibly and only for u3a purposes, in accordance with our policies.
- Ensure that resources are used solely to benefit the organisation and its members in line with our charitable aims.
7. Breaches of Conduct
- Members are expected to accept the guidance of the Committee, group leaders, and those with delegated authority.
- If a member breaches this Code, a group leader may remove that member from their group.
- Serious or repeated breaches may lead to further action by the Committee, which may include withdrawal of membership.
Complaints
Inevitably, as with any people organisation, not everyone will be happy with everything that goes on. When this happens, members should make use of the established Complaints Procedure, which aims to ensure that any complaints by members are dealt with fully, promptly and fairly with the aim of achieving the best outcome possible for all concerned. Our Complaints Procedure, Data Protection and Privacy Policies can be found on our website and are available from the Committee Secretary.
By following this Code of Conduct, members help to ensure that Elmbridge u3a remains a thriving, supportive, and enjoyable community for all.
